Arts & Crafts Advisory Board Meeting Minutes Monday, November 26, 2018

Minutes Approved on January 28, 2019


1. President: Monita Bowman – Call to order at 3:02 pm.

2. Secretary: Claudia Welch – There were no corrections/additions to October 29, 2018 minutes. Approval motion made by Barbara Gottesman; seconded by Diane Finley. Motion passed unanimously.

3. Treasurer: Ruth Branch – For the month of November, total income was $2,348.81 and total expenses were $451.91. The beginning fund balance on 01/01/18 was $5,944.11. Total income YTD was $7,675.58 and total expenses YTD were $4,953.89. Ending fund balance on 11/20/18 was $8.665.80 and ending checkbook balance was $8,765.21. There is still an outstanding bill from The Villages for Holiday Faire expenses. Approval motion made by Michael Sunzeri; seconded by Ruth Keiser. Motion passed unanimously.


Discussion ensued around allocating a portion of our funds toward awarding scholarships to eligible Villagers who would not otherwise be able to participate in our art classes. President Monita Bowman appointed a committee to determine parameters for the scholarships. Committee appointees are:
 Barbara Gottesman, Ciel Duke, and Diane Finley. The committee will report back in

Motion was made by Barbara Gottesman, seconded by Diane Finley, to reimburse Monita Bowman $149.99 for supplies purchased in association with her role as Board President. Motion passed unanimously. 


Treasurer Ruth Branch will update 2019 Proposed Budget. Approval of next year’s budget has been postponed to January 2019.

4. Vice President, Membership: Michael Sunzeri – Membership now stands at 245.

5. Old Business

5.1. 2019/2020 Officers – President – Monita Bowman, Vice President – Michael Sunzeri, Secretary – Deborah Edwards, and Treasurer – Ruth Branch. These nominees were voted on by the membership at the general meeting on Monday, November 5, 2018 and unanimously approved. Their tenure begins on January 1, 2019. Thank you to Claudia Welch, outgoing Secretary, for her dedication and hard work during her time of service. 


5.2. 2019 Budget – Each department was asked to submit a budget for 2019, to be presented for consideration to the Board at the November, 2018 meeting.

5.3. 2019 Board Positions – Monita Bowman presented a revised list of Board positions for the upcoming year which reflected any resignations and new or removed positions. She thanked the membership committee for their work on developing a slate of nominees.

New Business

6.1. Proposal – Gift Wrapping pARTy “It’s a Wrap!”: Ciel Duke and Jane Hink – proposed $50.00 budget, by invitation to members and their guests, BYOB, in Art Room, on December 16, 4:30-6:30. If successful, will continue next year as one of the Make & Take events. Approval motion made by Barbara Gottesman; seconded by Deborah Edwards. Motion passed unanimously.

6.2. Art Exhibition at Works/San Jose – Proposal to seek exhibit at Works/San Jose with theme of “Abstracting Our Lives,” each artist makes a statement of what they’re abstracting. An ad hoc committee, comprised of Sunni Gibbons, Colleen Mirassou, Barbara Gottesman, and Michael Sunzeri, was appointed to explore further.

6.3. Make & Take – Adult Coloring Parties, run by Wendy Ledamun, have been discontinued. It has been suggested that we change the concept of the parties to an art based, open to the community event. These would be easy art projects that could be completed within a one night timeframe. They would be a good membership drive tool as well as another community service program. We have permission for BYOB. They are currently at Vineyard, but can easily move to the Art Room. The current schedule is:

7.2. Ceramics: Diane Finley: Reported that all is well in ceramics; also provided updates on the following: 


7.2.1 Tuesday, 4 December at 6:15 p.m., Laurie Truman is teaching a workshop on 3-D Clay Sculpture class, “Charming Creatures.”

7.2.2 Ceramics room will be open additional hours during December to enable 
 ceramics artists more time to complete holiday projects,

Ed Knott has been booked for all demonstrations in 2019 except October 7th. We will need to think of a hands-on/interactive demonstration for this month.

7.7.2. Historian: Mary Goodnough – Presented 2018 book thoroughly documenting VACA activities and events for 2018.

7.7.3. Artist of the Month: Ruth Keiser - Described the process of selecting Artist of the Month, and sought suggestions and ideas for improving the process. She also expressed appreciation for our support.

7.8. Communications Director: Ciel Duke – Will pursue writing an article regarding the monthly art films that A & C offers free to all Villagers, stressing the value and quality of these film programs.

7.9. Events Coordinator: Diane Finley –

7.9.1. New Member Reception – September 17th – Barbara Gottesman – Report - 7.9.2. Holiday Faire – November 3rd – Final report. See attachment.

8.1. New Ideas:

8.1.1. Barbara Gottesman suggested we allocate a portion of our funds to order

new signs for Holiday Faire, since the old ones are nor longer usable. Diane Finley to handle.
